Basic Requirement:
Minimum S1 from any major.
More than 5 years of working experience in similar position.
Strong leadership, teamwork, problem solving and decision making capabilities.
Strong project management skills ability to lead projects at a network level to influence and obtain buy-in, and then drive execution and achievement of the right results
Ability to deal with ambiguity and competing objectives in a fast-paced work environment.
Ability to work with cross-functional teams
Have knowledge of K3 (Occupational Safety and Health).
Able to manage vendors and third parties.
Proficient in Microsoft Office and GA administration system.
Experience in manufacturing operations is a preferred.
Key Responsibilities:
Oversee and manage all general operational activities, including fleet transportation, canteen operations, and site environment to ensure smooth day-to-day business functions.
Lead and develop the General Affairs team, including manpower planning, training, performance evaluation, and ensuring team effectiveness.
Manage budgeting and cost control for all general affairs functions, ensuring effective resource allocation and financial oversight.
Drive continuous improvement initiatives, identifying operational inefficiencies and leading cost-saving efforts aligned with company goals.
Ensure a clean, safe, and efficient working environment, promoting health and safety practices and maintaining high standards across all facilities.
Ensure compliance with workplace health, safety, and environmental (HSE), and promote a culture of safety and accountability.
Oversee facility management, including building maintenance, cleanliness, and the overall condition of the physical work environment.
Manage the company’s security systems and personnel, ensuring all security measures, surveillance systems, and access controls are effectively implemented and maintained.
Manage inventory control and procurement of office supplies, equipment, and general services to support operational needs.
Develop and implement standardized processes, particularly for manual work, through the creation and enforcement of Standard Operating Procedures (SOPs), work instructions, and internal systems.
Establish operational KPIs and performance monitoring systems, and use them to evaluate efficiency, identify areas for improvement, and ensure accountability across General Affairs functions.
Evaluate and improve administrative processes, identifying ways to streamline workflows, reduce manual effort, and enhance service delivery.
Manage relationships with external vendors and service providers, ensuring high-quality service delivery and cost-effectiveness through contract negotiations and performance monitoring.
Provide management with regular project status updates, performance reporting, and feedback on progress toward objectives and operational KPIs.
Coordinate internal company events and support corporate travel needs, ensuring efficient planning and a positive employee experience.
Develop and maintain emergency response protocols, including business continuity and disaster preparedness plans conduct regular drills and training sessions.
